About the role:
We’re looking for a detail-oriented Proposal Writer & Coordinator to join our team. You’ll help develop and manage proposals from start to finish, working with subject matter experts, writers, and designers to create clear, compliant, and compelling bid documents.
This is a fast-paced role where you’ll take ownership of proposal timelines, coordinate team contributions, and ensure every document meets quality and compliance standards. You’ll be the central point of contact keeping everything on track.
What you’ll do:
• Organize and manage proposal schedules from initial submission through delivery
• Develop compliance matrices and ensure all customer requirements are addressed
• Create proposal outlines and timelines, assigning tasks and responsibilities
• Collaborate with team members to develop proposal strategy and solutions
• Participate in planning sessions with subject matter experts and writers
• Coordinate input from across the organization—gathering text, data, and writing support
• Review proposals for accuracy, compliance, and consistency
• Manage graphics and design input coordination
• Organize and prepare teams for internal proposal reviews
• Coordinate final production, packaging, and on-time delivery
• Handle ad-hoc requests and changes as needed
Skills/background needed:
• Experience writing or managing proposals (professional or academic)
• Strong organizational and time management skills
• Ability to coordinate multiple people and prioritize competing deadlines
• Attention to detail and commitment to quality
• Comfortable working in fast-paced team environments
• Solid written and verbal communication skills
• Experience with Microsoft Word and Google Docs
• Willingness to learn proposal management frameworks and processes
• No prior experience required—full training provided
Contract length: Full-time, ongoing
