Schedule: Monday to Friday, 8:00 AM to 5:00 PM (alternative weekday schedules available)

About the Role

This is a hybrid customer service and service writer position where you’ll be the main point of contact for customers. You’ll answer inbound calls, book appointments, and manage our schedule, while also handling the paperwork side of every job: opening work orders, documenting what customers describe, building estimates, explaining pricing, and closing out invoices. You’ll be the link between customers and field technicians from first call to final payment.

You’ll need to juggle multiple priorities: a ringing phone, technician updates from the field, and customers at the counter—all while keeping everything organized and on track.

What You’ll Do

Customer service side:

• Answer inbound calls, texts, and emails from customers and respond professionally and quickly
• Book service appointments and coordinate the daily schedule
• Communicate arrival windows, delays, and job updates to customers
• Follow up after completed jobs to confirm satisfaction and resolve any issues
• Handle billing questions, reschedules, and warranty inquiries with patience and accuracy
• De-escalate frustrated customers and turn their experience into a positive one

Service writer side:

• Open and maintain accurate work orders with customer info, appliance details, symptoms, and work performed
• Translate customer descriptions into clear, actionable notes for field technicians
• Prepare and explain estimates and repair options to customers in straightforward language
• Track open jobs from diagnosis through completion and keep customers updated at every stage
• Process payments, close out invoices, and maintain clean records
• Relay parts availability, callbacks, and job status between technicians, suppliers, and customers

Skills/background needed:

Essential:

• Genuine enjoyment talking to people, even on your hundredth call of the week
• Strong organizational skills—nothing falls through the cracks on your watch
• Clear writing and comfortable typing; attention to detail with numbers and codes
• Ability to stay calm when handling multiple tasks at once
• Ownership mindset—you see customer problems through to resolution
• Reliability—your team and customers depend on you being there every day
• Professional phone presence and excellent grammar (customers text as much as they call)
• Comfortable working on a computer all day (data entry, email, multiple systems)

Nice to have (not required):

• Prior experience in customer service, dispatch, front desk, hospitality, or retail
• Experience as a service advisor or writer in any trade
• Familiarity with scheduling or field service software (full training provided)
• Bilingual fluency in English and Spanish, French, Russian, or similar languages
