About the Role
We’re looking for a Service Writer to join our team in an on-site, full-time position. You’ll play a key part in our service operations—helping manage work orders, coordinate with field employees, and ensure our equipment stays compliant and road-ready. What You’ll Do
Work Orders & Purchase Orders
Open, update, and close work orders following standard processes, ensuring accuracy and consistency. Prepare, track, receive, and reconcile purchase orders for service-related parts and supplies, matching purchases to the correct work orders and equipment.
Parts & Inventory Management
Manage day-to-day parts operations: identifying needs, sourcing and ordering parts, coordinating with vendors, receiving and verifying shipments, and issuing parts to technicians and field staff. Maintain accurate inventory records, conduct routine counts and reconciliations, investigate discrepancies, and recommend replenishment of key items. Monitor parts availability, lead times, and costs to support timely repairs and identify cost-effective sourcing options.
Vendor & Warranty Coordination
Communicate with suppliers on pricing, availability, order status, deliveries, returns, and credits. Coordinate returns of unused, incorrect, or defective parts, and manage warranty documentation to ensure credits and reimbursements are received. Build and maintain productive vendor relationships and escalate issues when needed.
Scheduling, Compliance & Reporting
Support service scheduling and preventive maintenance planning to reduce downtime. Coordinate with field staff to keep units compliant and road-ready. Generate and distribute reports on service activity, work orders, inventory, parts usage, and costs.
Administrative Support
Provide clerical and system support to the Service Manager, maintaining organized service and parts records.
Skills/background needed: High school diploma or equivalent required. No prior experience necessary—full training will be provided. We’re looking for someone who is detail-oriented, organized, and able to manage competing priorities. Strong communication skills and the ability to work well with mechanics, vendors, and management are essential. Proficiency in Microsoft Word, Excel, and Outlook is helpful. Any background in service operations, parts management, inventory control, or purchasing is a plus, but not required.
Contract length: Full Time, Permanent
