About the role

We’re looking for a reliable, organized Office Administrator to join our team and support our fast-paced office environment. You’ll be the backbone of our operations, helping managers stay on top of their priorities, keeping our office running smoothly, and creating a welcoming atmosphere for everyone who walks through the door.

This is a great entry-level position if you’re detail-oriented, enjoy working with people, and want to develop your administrative skills in a supportive team environment.

What you’ll be doing

Daily administrative support: Handle incoming and outgoing mail, manage phone calls and emails, data entry, filing, photocopying, and general office organization. You’ll ensure office supplies are always stocked and coordinate orders as needed.

Team collaboration: Work closely with managers and staff to understand what they need, prioritize tasks, and help things run efficiently. You’ll be the friendly face greeting visitors and creating a warm, professional atmosphere.

Document management: Review paperwork for accuracy, enter information into systems, prepare reports and presentations, and ensure all compliance requirements are met. We’ll provide full training on the specific systems we use.

Technology support: Help team members with basic troubleshooting for computers, printers, and faxes. You’ll also support others in using office software and tools, and escalate technical issues to IT when needed.

Event coordination: Assist with organizing office events, team lunches, and meetings—including sending invites, collecting RSVPs, ordering food, and helping on the day itself.

Office care: Keep common areas tidy and work with building services to address any maintenance needs.

Flexibility: Help out wherever needed. During quieter periods, you may pick up additional tasks to keep the office running smoothly.

Skills and experience we’re looking for

You should be comfortable using Google Suite, Microsoft Word, and Excel. Previous experience in an office setting is helpful, but we welcome entry-level candidates with strong organizational skills and a willingness to learn.

Working conditions

You’ll work in a climate-controlled office with a moderate noise level. The role involves frequent interruptions and moving around the office to support different teams. You’ll sit, stand, and walk regularly, with occasional climbing of stairs. You may be asked to lift up to 25 pounds occasionally. You’ll use a computer daily, answer phones, and work with a diverse group of people. The pace is busy, and you’ll sometimes work toward tight deadlines—but that’s what makes the job interesting!
