About the Role
We are looking for an organized, detail-oriented chat support specialist to join our team. You will play a key role in keeping our service operations running smoothly by coordinating client requests, supporting our team, maintaining accurate service records, and ensuring that clients receive timely, professional communication.
The ideal candidate is someone who enjoys keeping things organized, is comfortable managing multiple priorities at once, communicates exceptionally well, and takes ownership of getting things done. This is a fully remote position with regular interaction with clients, team members, vendors, and internal leadership.
Key Responsibilities
Service & Ticket Administration
• Monitor and manage incoming service requests and ensure they are properly documented and assigned
• Review service tickets for accuracy, completeness, and appropriate categorization
• Coordinate scheduling between clients and team members
• Follow up on open tickets and ensure requests are progressing appropriately
• Assist with maintaining service-level commitments and escalating issues when necessary
• Ensure completed work is properly documented
Client Communication
• Serve as a professional and responsive point of contact for clients regarding service requests and scheduling
• Communicate updates, scheduling information, and follow-ups to clients
• Develop positive relationships with clients and provide excellent customer experience
• Handle routine client questions and know when to escalate issues to the appropriate team member
Administrative & Operational Support
• Assist with service reporting and time-entry reconciliation
• Maintain accurate client and service information within company systems
• Assist with vendor coordination and equipment tracking
• Prepare reports and assist with tracking service metrics
• Help maintain internal processes and documentation
• Identify opportunities to improve workflows and increase efficiency
Team Support
• Work closely with team members, project managers, and leadership
• Help ensure team members have the information and resources they need to complete client requests
• Coordinate communication across the service team and other areas of the business
• Assist with special projects and other operational needs as the company grows
Skills/background needed:
• 2+ years of administrative, customer service, or operations experience (or equivalent combination of education and experience)
• Excellent written and verbal communication skills
• Exceptional organization and attention to detail
• Ability to manage multiple priorities and deadlines
• Strong follow-through and a “get it done” attitude
• Comfortable working independently in a remote environment
• Strong computer skills and the ability to learn new software quickly
• Professional, friendly, and client-focused demeanor
• Ability to communicate effectively with both technical and non-technical individuals
Preferred Experience:
• Experience working in a service coordination or help desk environment
• Familiarity with ticketing systems
• Experience with common business software and applications
• Experience with service billing or time tracking
