Location: On-site, local position. Monday to Friday, 8:00 AM to 5:00 PM (alternative schedules available).
About the Role
This is a hybrid customer service and administrative role. You’ll be the first voice customers hear when they contact the company. You’ll answer inbound calls, book service appointments, and coordinate schedules. You’ll also handle the paperwork side of every job: opening work orders, documenting customer issues, preparing estimates, explaining pricing, and processing invoices. You’re the connection between customers and technicians from the initial call through to final payment.
No prior experience is required—full training will be provided. You’ll learn the industry and the specific systems used, and you’ll be supported every step of the way.
What You’ll Do
Customer Service:
• Answer inbound calls, texts, and emails from customers with professionalism and speed
• Book service appointments and manage the daily schedule using our dispatch system
• Communicate arrival windows, delays, and job updates to keep customers informed
• Follow up after completed work to confirm satisfaction and resolve any concerns
• Handle billing questions, rescheduling requests, and warranty inquiries accurately
• Remain calm and professional with frustrated customers, turning concerns into positive outcomes
Administrative & Service Writing:
• Open and maintain accurate work orders with customer information, appliance details, symptoms, and work completed
• Translate customer descriptions into clear, detailed notes that technicians can action immediately
• Prepare and explain estimates and repair options to customers in plain, easy-to-understand language
• Track jobs from initial diagnosis through parts ordering to completion, keeping customers updated
• Process payments, close invoices, and maintain accurate records
• Relay information about parts availability, job status, and callbacks between technicians, suppliers, and customers
Skills/background needed:
• Genuine enjoyment of talking with people and helping them solve problems
• Strong organizational skills—attention to detail and accuracy matter
• Clear writing ability and comfortable typing throughout the day
• Ability to stay calm and focused when managing multiple tasks simultaneously
• Reliable and dependable; comfortable working in-office Monday through Friday
• Professional phone manner and excellent written communication skills
• Comfortable using computer systems, email, and data entry tools all day
• Bilingual ability (English/Spanish or other languages) is a plus but not required
Nice to have:
• Prior experience in customer service, dispatch, front desk, hospitality, or retail
• Experience as a service advisor or writer in any trade
• Familiarity with scheduling or field service software (we’ll train you on ours)
