Documentation Writer – Part Time

Location: Local position available on-site.

Contract length: Part-time, 15–20 hours per week.

Schedule: Flexible weekday schedule. You can structure your hours as approximately three days per week or five to six hours daily, Monday through Friday. The exact schedule will be arranged based on organizational needs and your availability.

About the role

We are looking for an organized, detail-oriented individual to join our team as a Documentation Writer. You will prepare, format, review, and maintain reports and programme documentation. This role involves working with information provided by staff, client records, and established templates to produce accurate, professional, and timely documentation.

This is an excellent opportunity for someone with strong writing skills, an eye for detail, and the ability to work independently while managing recurring deadlines. No prior direct-service experience is required.

What you’ll do

Report Writing
You will prepare and draft various types of reports using service documentation, staff input, case records, and established templates. This includes writing initial, progress, and closure reports. You’ll clearly document services provided, client progress, outcomes, and recommendations. You’ll review all documentation for completeness, follow up with staff when information is missing or unclear, and track reporting deadlines to ensure timely completion.

Documentation Preparation
You will compile and organize information from assessments, service plans, authorizations, and other source records into structured documentation. You’ll ensure all information is accurate and complete, identify gaps or inconsistencies, and coordinate with staff to obtain missing information. You’ll also track renewal dates and applicable deadlines.

Documentation Support
You will assist with formatting and preparing materials using approved templates. You’ll review documentation for completeness, consistency, and professional presentation. You’ll verify that information is consistent with source materials, identify missing or conflicting details, and communicate questions to appropriate staff. You’ll submit completed documentation for required review.

Monthly Tracking
You will complete assigned monthly tracking spreadsheets, review progress notes and supporting documentation for completeness, identify missing or incomplete records, and maintain accurate tracking records. You’ll verify information against source documentation before finalizing reports.

Quality Assurance
You will proofread all reports and documentation for grammar, spelling, clarity, accuracy, and professional presentation. You’ll verify names, dates, service periods, and other important details against source records. You’ll analyze information from multiple sources to determine the clearest way to present it. You’ll maintain confidentiality of all sensitive information and comply with privacy requirements. You’ll work independently, communicate promptly about potential deadline issues, and help improve documentation processes when needed.

Skills/background needed

Required

• High school diploma or equivalent
• Strong professional writing and proofreading skills
• Ability to identify and solve documentation problems using sound judgment
• Strong attention to detail
• Ability to turn information from multiple records into clear, accurate documentation
• Ability to spot missing, unclear, or conflicting information
• Ability to manage multiple deadlines at the same time
• Proficiency with Microsoft Word and Microsoft Excel
• Ability to keep sensitive information confidential

Preferred

• Associate or bachelor’s degree in human services, rehabilitation, business, communications, or a related field
• Previous experience with human services documentation
• Familiarity with documentation requirements in regulated or publicly funded programmes
• Ability to learn electronic case-management and tracking systems quickly

Location: This is an on-site position. You will work from the local office according to your established schedule. The role requires reliable in-person attendance for coordination, documentation review, and access to organizational systems.
