Executive Assistant – Creative Operations, Remote

We’re looking for an Executive Assistant to support a senior leader within a fast-paced creative operations team. You’ll be the operational backbone that makes ambitious creative work possible, coordinating across project management, production, traffic, media workflow, and data operations.

What You’ll Do

Executive Support & Operating Rhythm

Manage a complex, high-volume calendar; anticipate conflicts, protect prep time, and ensure your manager is fully prepared for every meeting

Coordinate travel and logistics; handle expense reporting with accuracy and timeliness

Draft, proof, and route communications on behalf of your manager — from team-wide emails to senior executive correspondence

Manage the flow of information into and out of the office; exercise sound judgment about what needs escalation and what you can handle independently

Team & Cross-Organization Connectivity

Serve as a connector across a large, distributed team spanning multiple functional areas

Build trusted working relationships with peers, department leads, and executives across your organization

Help plan and coordinate all-hands meetings, leadership offsites, and team events — handling logistics, materials, and coordination

Track action items and decisions from key meetings; follow through to ensure accountability across teams

Business Engagement

Sit in on relevant meetings, take clear notes, and synthesize key takeaways for distribution

Assist with the preparation of presentations, briefing materials, and decks for senior audiences

Stay informed on organizational priorities and proactively surface information your manager needs to know

Support special projects as they arise — this organization moves fast, and opportunities to contribute beyond the core job description come regularly

What We’re Looking For

Essential Skills & Background:

2+ years of work experience in a fast-paced, collaborative environment (creative, media, tech, or similar industries)

Strong written communication skills — you write clearly, concisely, and adjust your tone for different audiences

Exceptional organizational instincts; you build systems and processes, not just manage individual tasks

Sound judgment and discretion; you handle sensitive and confidential information responsibly

Comfort with ambiguity; you move work forward confidently even without a perfect playbook

Highly proactive mindset; you anticipate needs and take initiative without waiting for direction

Professional curiosity; you’re energized by taking on new challenges and responsibilities

Proficiency with Google Workspace, Microsoft Office, and calendar and scheduling tools

Preferred Experience:

3+ years of professional work experience

Experience supporting a VP-level or senior executive

Familiarity with creative production, post-production, or marketing operations environments

Interest in how large media organizations operate — from content strategy to technical infrastructure

Undergraduate degree or equivalent professional experience

Rate: Competitive entry-level pay, details shared upon application.
