Grant Writer & Manager – Entry Level

Position Summary

We are seeking a Grant Writer & Manager to support our mission of providing community health services. This full-time position offers the opportunity to identify, develop, submit, and manage grant opportunities that support our programmes and growth. You will manage the complete grant lifecycle, from research and proposal development through award administration, reporting, and compliance.

What You’ll Do

You will develop compelling, data-driven proposals for federal, state, local, foundation, corporate, and other funding opportunities. You’ll work collaboratively with leadership, finance teams, operational departments, programme managers, and external partners to ensure grant proposals and awarded projects are well planned, appropriately budgeted, compliant, and successfully implemented.

Key Responsibilities

Grant Research & Prospect Development

Research and identify grant opportunities aligned with organisational mission and strategic priorities. Monitor funding sources and grant calendars from government agencies, foundations, and corporate funders. Maintain a comprehensive grant opportunity pipeline and funding calendar. Evaluate funding opportunities for eligibility, alignment, competitiveness, funding amount, deadlines, and reporting requirements. Develop relationships with prospective funders and track organisational funding trends.

Grant Writing & Proposal Development

Lead the development of grant proposals, letters of intent, concept papers, applications, and renewal requests. Translate organisational needs, programmes, and community impact into compelling funding narratives. Coordinate proposal development across departments and ensure timely receipt of required information. Develop project descriptions, needs statements, goals, objectives, work plans, evaluation plans, and sustainability plans. Collect and incorporate relevant community health, patient, and programme data. Develop grant budgets in collaboration with finance teams. Ensure proposals comply with funder guidelines and formatting requirements. Maintain a library of organisational narratives, programme descriptions, and supporting documentation. Coordinate final review and approval processes prior to submission. Maintain accurate records of submitted proposals and award decisions.

Grant Management & Compliance

Manage the post-award lifecycle of grants from award notification through closeout. Maintain a grant tracking system containing award amounts, project periods, deliverables, reporting deadlines, budgets, and compliance requirements. Monitor grant expenditures against approved budgets. Coordinate financial and programmatic reporting requirements. Prepare and submit interim, annual, renewal, and final grant reports. Monitor grant deliverables and performance measures. Identify potential compliance issues and budget variances and escalate appropriately. Coordinate grant amendments and other funder requests. Ensure grant files are complete, organised, and audit-ready. Support internal and external grant audits.

Programme Support

Develop knowledge of community health operations and quality improvement initiatives. Collaborate with programme leaders to develop fundable projects that support patient access, quality outcomes, and community impact. Support grant opportunities related to various healthcare priorities. Coordinate with compliance and operations teams to ensure grant-funded activities are consistent with organisational policies. Support the development of community needs assessments and impact data used in grant applications and reports.

Relationship Management

Serve as a primary point of contact for assigned funders. Develop professional relationships with foundation, corporate, governmental, and community funding partners. Coordinate funder meetings, presentations, and grant-related communications. Provide leadership with regular updates regarding funding opportunities, application status, and upcoming deadlines.

Skills/background needed: Bachelor’s degree in English, Communications, Public Health, Nonprofit Management, Business Administration, Healthcare Administration, or a related field. 3–5 years of professional grant writing and/or grant management experience. Demonstrated experience writing successful grant proposals. Experience managing multiple grants, deadlines, and reporting requirements simultaneously. Strong understanding of grant budgets and financial reporting. Excellent written and verbal communication skills. Strong organisational and project management skills. Attention to detail and ability to interpret complex funding requirements. Proficiency with Microsoft Word, Microsoft Excel, Google Docs, Google Sheets, and Google Drive.

Preferred qualifications: Experience working for a community health centre, nonprofit healthcare organisation, or similar organisation. Experience with federal grant programmes and administration. Familiarity with healthcare-related funding sources. Knowledge of quality improvement and health equity. Professional grant writing certification or comparable credential. Experience with grant management software or CRM systems.

Work environment: This position is primarily performed in an office or administrative environment and may allow for hybrid or remote work based on organisational policy. Occasional travel may be required for conferences, funder meetings, or community events.
