Service Writer – Entry Level, On-Site

Role: Service Writer

Summary:

You will be the first point of contact for customers bringing in vehicles for service. Your role involves taking in vehicles, documenting customer concerns clearly, scheduling work, assigning jobs to technicians based on their skills, and keeping customers updated on their service status. You’ll also help estimate costs and completion times, handle scheduling, and provide excellent customer service throughout the process.

What You’ll Be Doing:

Service Department Operations

You’ll assist the service manager in keeping the department running smoothly and maintaining high customer satisfaction. Key tasks include:

• Clearly document what customers say about their vehicle concerns on service orders
• Estimate repair costs and timelines, communicate these clearly to customers, and get their approval
• Assign jobs to technicians based on their skill level and current workload
• Check on jobs in progress to ensure quality and timely completion
• Help technicians when they need support with technical challenges
• Identify correct part numbers and work with the parts team to ensure materials are ready before work begins
• Handle cashier functions as needed
• Create estimates for various repair types
• Open and close customer repair orders in the system
• Follow procedures for handling warranty items efficiently
• Learn and become efficient with the computer systems used for service and parts management

Customer Service

Providing excellent service is core to this role:

• Greet customers warmly and immediately when they arrive
• Handle phone calls quickly and courteously
• Notify customers promptly of any changes, delays, or additional work needed
• Suggest additional services when appropriate, such as service specials or preventative work
• Handle complaints with empathy and a positive attitude
• Pay special attention to repeat repairs to ensure problems are truly resolved
• Set realistic customer expectations so they’re consistently met

Skills/Background Needed:

• Excellent communication, follow-up, and time management skills
• Basic familiarity with Microsoft Office, CRM systems, and scheduling software
• Willingness to learn about vehicle servicing and repair processes
• Valid motorcycle license
• Customer service mindset and friendly, professional demeanor
• No prior service writing experience required—full training will be provided

Rate: Competitive entry-level pay, details shared upon application.

Contract length: Full-time

Schedule: Day shift, weekends as needed

Location: On-site, in-person role
