About the role
We’re looking for a detail-oriented Proposal Coordinator to join our team. In this role, you’ll support proposal managers and business development leaders in creating high-quality proposals and statements of qualification. You’ll help gather, organize, refine, and finalize proposal content, ensuring accuracy, consistency, and on-time delivery.
This is a fantastic entry-level opportunity to develop expertise in proposal coordination and business development support. Full training will be provided—no prior experience in this specific field is required.
What you’ll do
• Support the delivery of competitive proposals and statements of qualification
• Assist with preparing proposal outlines, templates, and formats that respond to client requirements
• Develop and maintain proposal schedules, track assignments, and manage multiple concurrent deadlines
• Coordinate with proposal teams to gather information and incorporate content and graphics
• Prepare and refine proposal content, including resumes, project descriptions, forms, and marketing materials
• Format, proofread, and perform quality-control reviews of proposal documents for accuracy and consistency
• Coordinate document production, submission requirements, and file organization
• Maintain and update proposal content and opportunity information within company systems
• Support company-wide business development efforts as needed
Skills and background we’re looking for
• Proficiency in Microsoft Word and PowerPoint
• Familiarity with Google Drive and PDF tools
• Exceptional attention to detail with a strong eye for formatting consistency
• Strong time management and organizational skills with the ability to prioritize multiple tasks and competing deadlines
• Ability to quality-check large volumes of data and documents accurately
• Team-oriented, flexible, reliable, and responsive
• Bachelor’s degree
Experience with design tools like Canva or similar software is a plus, as is any copyediting experience or familiarity with database concepts. However, we’re happy to provide training on any tools and processes you haven’t used before.
